Maintenance
Keep your fleet healthy. RentBridge tracks maintenance records, predicts service needs with AI, and automatically routes damaged equipment to maintenance at return.
Maintenance Records
Every service event is a maintenance record on the equipment:
- Type: preventive (scheduled service), corrective (repairs), or inspection
- Priority and status: track what's urgent and what's done
- Scheduled and completed dates
- Costs: labor hours, parts cost, and total cost — so you know what each unit really costs to run

AI Maintenance Predictions
The maintenance agent predicts service needs before failures:
- Per unit: get a prediction for any piece of equipment based on its hours, condition, and service history
- Fleet-wide batch check: the agent reviews your whole fleet daily and flags what's approaching service thresholds
- Alerts: fleet-wide maintenance alerts appear alongside overdue returns and low-utilization warnings
With telematics connected, engine hours sync automatically every 15 minutes — predictions run on real usage, not estimates.
Automatic Damage-to-Maintenance Routing
When a return inspection finds damage, RentBridge's damage assessment automatically:
- Creates a maintenance record for the repair
- Routes the equipment to maintenance status instead of back into the bookable pool
- Feeds the damage into the insurance risk model (see Learning Loops)
Nothing damaged goes back out by accident.
Equipment Downtime
Equipment in maintenance status is hidden from the catalog and can't be booked. When the work is done, flip it back to available and it's instantly bookable again. Status transitions are validated, so a unit can't skip states.
Preventive vs. Reactive
- Preventive: log scheduled services (oil changes, inspections, seasonal prep) as preventive-type records
- Reactive: breakdowns and repairs go in as corrective-type records
- Inspections: checkout/return/periodic inspections have their own record type
The AI predictions push you toward preventive — catching issues before a renter is standing next to a dead machine.

Costs & Reporting
Maintenance records carry labor and parts costs, so per-unit lifetime maintenance spend is always available. Combine with the equipment performance report to see which units are worth keeping and which are maintenance money pits — the equipment-performance learning loop tracks the same signal automatically.

Troubleshooting
Predictions seem off?
- If you're not using telematics, keep
current_hoursupdated manually — predictions are only as good as the hours data - New equipment with no history gets conservative predictions until data accumulates
Equipment stuck in maintenance status?
- Complete or close its open maintenance record, then set the unit back to available from the Fleet page
Alert for a unit you already serviced?
- Log the completed maintenance record with the completion date — the daily batch check will clear it
